Job Description:
The Reporting Officer plays a critical role in documenting, consolidating, and communicating program achievements across KRO projects. The position supports multiple projects and donors by ensuring high-quality reporting, proper documentation of activities, and effective visibility of KRO’s work.
The Reporting Officer will collect and analyze program data, prepare donor reports, develop communication materials, and support the organization in showcasing its impact through reports, website updates, success stories, and visual documentation.
The role requires a proactive, detail-oriented professional with strong writing, analytical, and communication skills who can transform field activities into clear, compelling narratives for donors, partners, and the public.
Key Responsibilities:
Reporting and Documentation
- Collect, compile, and verify program data from field teams across multiple projects.
- Prepare high-quality weekly, monthly, quarterly, and donor reports in coordination with program teams.
- Ensure reports meet donor requirements, internal standards, and reporting timelines.
- Document program progress, achievements, challenges, and lessons learned.
- Maintain a centralized reporting database and archive for all program documentation.
Data Management and Coordination
- Maintain regular communication with field teams to collect accurate activity data and updates.
- Support program staff in consolidating work plans, activity reports, and progress updates.
- Coordinate with the MEAL team to ensure accurate data collection and reporting.
- Assist in analyzing program data to highlight progress, impact, and key findings.
Communication and Visibility
- Develop success stories, case studies, and human-interest stories from field activities.
- Capture and organize photographs, videos, and visual documentation of project activities.
- Support the development of communication materials, briefs, and program highlights.
- Regularly update KRO’s website and social media platforms with project updates and organizational news.
- Contribute to improving KRO’s external visibility and documentation of achievements.
Proposal and Grant Support
- Support the preparation of grant proposals, concept notes, and project reports by providing relevant program data and narratives.
- Assist in compiling supporting documentation required by donors.
- Contribute to drafting sections of proposals related to project background, results, and achievements.
Organizational Learning and Improvement
- Track compliance with KRO reporting standards and donor requirements.
- Identify gaps in documentation and recommend improvements to reporting systems.
- Support internal learning by documenting lessons learned, best practices, and program innovations.
- Facilitate internal meetings by taking minutes and tracking follow-up actions.
Emergency Support
- Assist the Program Manager during emergency responses by organizing program information, documentation, and reporting.
Job Requirements:
Education
Bachelor’s degree in journalism, Communications, Agriculture, Engineering, International Development, Social Sciences, or a related field.
Experience
- Minimum 3 years of relevant experience in reporting, communications, or program documentation in the humanitarian or development sector.
- Experience working with NGOs, donor-funded projects, or humanitarian programs is highly desirable.
Skills and Competencies
- Excellent report writing and editing skills in English.
- Strong ability to convert field information into clear and compelling narratives.
- Good understanding of project management, M&E, and donor reporting.
- Strong data management and analytical skills.
- Experience in website content updating, communication materials, and documentation is an asset.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Strong coordination and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Creative and proactive with innovative ideas to improve organizational visibility.
